Privacy Policy – Modern Audience Conference (modernaudience.org)

This Privacy Policy explains how we collect and use your personal data when you use modernaudience.org, buy a ticket, register for a MemberPress account, watch our livestream, use chat features, or join our mailing list.

2) What data we collect

Depending on what you do on the site, we may collect:

Account and ticketing

  • Name
  • Email address
  • Billing address (if required for invoicing/tax)
  • Purchase details (ticket type, price, transaction references, time/date)
  • MemberPress account details (username and access status)

Payments

  • We do not store your full card details. Card payments are handled by our payment provider. We receive confirmation and transaction references.

Livestream and member area

  • Login and access logs (eg sign-in time, access status) for security and troubleshooting

Chat and community features (if enabled)

  • Messages you post
  • Your display name/handle (if applicable)
  • Moderation logs (only if needed)

Mailing list

  • Email address
  • Any preferences you choose (eg topics)

Technical data

  • IP address (often short-lived in server logs)
  • Device/browser information and basic analytics events (where consented)
  • Cookies (see Cookies section below)

3) Why we use your data (and our lawful bases)

We use your personal data to:

  • A) Deliver what you bought (ticket access, member login, livestream and VOD) – Lawful basis: Contract (we need this data to provide the service you’ve paid for)
  • B) Run the site securely and prevent fraud/abuse (security logs, access control, moderation) – Lawful basis: Legitimate interests (keeping the service safe and reliable)
  • C) Customer support (help with access issues, account queries, refunds) – Lawful basis: Contract and/or legitimate interests (depending on the request)
  • D) Send event emails (important service messages such as access info, schedule, technical updates) – Lawful basis: Contract (these are not marketing – they’re essential to deliver the event)
  • E) Send marketing emails (news, future events, offers – only if you opt in where required) – Lawful basis: Consent or “soft opt-in” where legally permitted (you can unsubscribe at any time) (Information Commissioner’s Office)

4) Cookies and similar technologies

We use cookies and similar technologies to make the site work and to understand how it’s used.

  • Strictly necessary cookies are used for core functions like login, security and payments – these do not require consent.
  • Non-essential cookies (eg analytics/advertising) will only be used if you consent via our cookie banner.

5) Who we share data with (processors and service providers)

We share personal data only when needed to run the service, including with:

  • Payment providers (to process payments and handle fraud prevention)
  • MemberPress / WordPress hosting providers (to run the member area and site)
  • Email marketing provider (to send newsletters where you’ve opted in, and essential service emails)
  • Livestream and chat providers (to deliver livestream access and chat functionality, if used)
  • Analytics providers (only where you consent to non-essential cookies)

We require service providers to protect your data and only use it for the services they provide to us.

6) International transfers

Some of our service providers may process data outside the UK. Where this happens, we use appropriate safeguards (for example, UK-approved contractual protections) to help keep your data protected.

7) How long we keep your data (retention)

Typical retention periods:

  • Ticketing and transaction records: kept for as long as needed for accounting/tax and dispute handling (often several years)
  • MemberPress account data: kept while your account is active, then deleted or anonymised within a reasonable period after inactivity/closure unless we must keep records for legal reasons
  • Mailing list data: kept until you unsubscribe (then removed from marketing lists, with minimal suppression data retained to ensure we respect your opt-out)
  • Support emails and logs: kept as needed to resolve issues and maintain records of requests
  • Security logs: retained for a short period unless required for investigating abuse or incidents

8) Your rights

You have rights over your personal data, including:

  • Access to your data
  • Correction of inaccurate data
  • Deletion (in some cases)
  • Restriction of processing (in some cases)
  • Objection to processing based on legitimate interests
  • Data portability (in some cases)
  • Withdraw consent at any time (where we rely on consent)

9) Marketing preferences

If you sign up to our mailing list, you can unsubscribe at any time using the link in our emails. We will still send essential service messages related to purchases or access (these are not marketing).

10) Children

Our events and services are not aimed at children. If you believe a child has provided personal data to us, contact datainfo@bellyfeel.co.uk and we will take appropriate steps.

11) Security

We use reasonable technical and organisational measures to protect personal data. No system is perfectly secure, but we take security seriously and limit access to those who need it.

12) Complaints
